How a Wollongong Builder Uses AI for Tenders, OH&S and Supplier Comms
Composite case study based on real patterns from Australian building and construction businesses using AI. Names are illustrative.
Rob runs a small construction company in Wollongong: residential extensions and commercial fitouts, 8 staff plus subcontractors. He’s a builder by trade, not a writer. For years the business side: tendering, documentation, compliance, supplier management: was the part he dreaded. He’s not a fan of AI in principle (“I’m a tools-in-hands type”) but he’s a convert in practice. Here’s why.
Tender Documents
Tendering for commercial work requires professional documentation: company capability statements, project methodology, relevant experience, quality assurance approach, insurance schedule. Rob was either spending hours on these or losing tenders because his documentation looked amateur compared to larger competitors.
He now uses ChatGPT to build tender documents from a template he’s refined over several months. He provides the project specifics and key differentiators; the AI structures the narrative professionally:
“Write a tender capability statement for a small Australian construction company. Project: [describe]. Our relevant experience: [list 3 similar projects with brief outcomes]. Our point of difference: [local knowledge, family business, 15-year track record, responsive]. Include sections for: company overview, relevant experience, project methodology, quality assurance, safety record, team. Professional but approachable tone. We are not a big corporate: our size is our advantage.”
Rob reviews and adjusts for accuracy, but the professional structure is there. His tender win rate has improved: he can’t attribute all of it to better documents, but the feedback from clients has been that his submissions look more professional than before.
OH&S Documentation
Safe Work Method Statements (SWMS) are required for high-risk construction work in Australia. Rob used to buy generic templates and manually adapt them: time-consuming and often imprecise. Now he describes the specific task and site conditions to ChatGPT and asks for a SWMS draft:
“Draft a Safe Work Method Statement (SWMS) for [specific task, e.g. working at heights on a residential extension in NSW]. Include: activity description, hazards identified, risk rating (likelihood x consequence), control measures, PPE required, emergency procedures, sign-off section. Format as a table. Comply with NSW WHS Act 2011 requirements.”
Important: Rob has a licensed WHS consultant review any SWMS before use on-site. The AI produces a thorough first draft; the professional review ensures compliance. He’s cut SWMS preparation time by about 60%.
Supplier Communications
Chasing quotes, disputing invoices, escalating delivery issues. Rob hated writing these. He’d either delay them (causing bigger problems) or fire off blunt emails that created friction. Now he describes the situation to ChatGPT and asks for a professional, firm email. The relationship has improved with key suppliers because his communications are now measured rather than reactive.
The Numbers
- ChatGPT Plus: ~AU$28/month
- Admin hours saved: ~4-5 hours/week
- Tender win rate: improved (unquantified: qualitative feedback)
“I still don’t love AI,” Rob says. “But I love having my evenings back.”
