How an Adelaide Personal Trainer Built an Online Coaching Business Using AI
Composite case study based on real patterns from Australian fitness professionals using AI. Names are illustrative.
Josh is a personal trainer in Adelaide: good reputation, fully booked in-person schedule, income capped by hours available. He wanted to build an online coaching component that could scale beyond 1:1 sessions. The barrier was time: creating individualised programs, writing educational content, and managing a larger client base seemed impossible alongside a full PT schedule. AI changed the maths.
Program Creation
Writing a personalised 12-week training program used to take Josh 3-4 hours. He’d structure the phases, select exercises, write descriptions, set rep and set ranges, add coaching notes. Thorough, but not scalable when you have 30 online clients.
Now he uses a structured ChatGPT prompt that takes his client assessment data and outputs a complete program draft:
“Create a 12-week progressive strength training program for an online coaching client. Client profile: [age, sex, fitness level, training history, goals, injuries/limitations, available equipment, days per week available]. Structure: 3 phases of 4 weeks each, progressing in intensity. For each session include: exercise name, sets, reps, rest periods, and brief coaching notes. Format as a table. Include a weekly deload in week 4, 8 and 12.”
The draft program comes back in 2 minutes. Josh reviews every exercise selection, adjusts for the client’s specific needs, and has a finished program in under an hour instead of 3-4 hours. He’s tripled his online client capacity without working longer hours.
Nutrition Guides
Josh isn’t a dietitian and doesn’t give specific nutrition advice: but he does provide general educational content. AI helps him create high-quality PDF guides on topics like protein intake basics, meal timing, and reading food labels. These go into his client onboarding pack and reduce the time he spends answering the same questions.
Client Check-In Analysis
Clients submit weekly check-ins: weight, energy, sleep, training adherence, photos. Reviewing 30 check-ins and writing personalised responses used to take Sunday afternoons. Now Josh pastes each check-in into ChatGPT and asks for a coaching response based on the data. He edits every response to sound like him and adds specific motivational language he knows works for that client: but the structural analysis and first draft are done in seconds.
Content Marketing
Josh posts educational content on Instagram: training tips, myth-busting, client wins (with permission). AI helps him turn one idea into a week of content: a long-form caption, three short-form variations, a carousel script, and a story sequence. His posting frequency doubled; his following grew 40% in six months.
