How a Townsville Electrical Contractor Uses AI for Compliance Docs and Invoice Follow-Up

Composite case study based on real patterns from Australian electrical contractors using AI. Names are illustrative.

Derek runs an electrical contracting business in Townsville, 4 licensed electricians, residential and light commercial work across north Queensland. Good reputation, steady pipeline, but the admin side was a constant source of stress. Compliance documentation, certificates of compliance, chasing overdue invoices, supplier communications. Derek wasn’t drowning, but he was swimming harder than he should be. Here’s where AI made the biggest difference.

Certificates of Compliance and Test Reports

Electrical work in Queensland requires Certificates of Compliance for Electrical Work (CCEW) and, for larger installations, test and inspection reports. The certificates themselves are handled through the QBCC portal, but the accompanying documentation: scope of works descriptions, technical notes for clients: was being written from scratch each time. Derek built a library of AI-drafted templates for common job types (switchboard upgrades, solar installations, EV charger installations, data cabling, commercial fitouts). Each template is reviewed by his master electrician before use, but the structure is done.

Compliance Checklists

For complex jobs, Derek uses ChatGPT to generate pre-job and post-job compliance checklists tailored to the specific installation type. These are reviewed against the Australian Standards references for accuracy: the AI is a drafting tool, not a regulatory authority. But having a structured checklist that the team can print and sign off on has improved his compliance documentation consistency significantly.

Invoice Follow-Up

Late payments are a constant issue in trades. Derek hated chasing them: it felt confrontational and he worried about damaging relationships. His follow-up was inconsistent, which meant some invoices sat unpaid for 60-90 days.

Now he uses ChatGPT-drafted follow-up sequences:

“Write a series of 3 invoice follow-up messages for an Australian small business. Message 1 (7 days overdue): friendly reminder, assume it slipped through. Message 2 (14 days overdue): firmer, request a payment date. Message 3 (21 days overdue): formal notice, reference right to charge interest under Australian payment terms. Tone: professional throughout, not aggressive. Business type: electrical contractor.”

Average debtor days: down from 52 to 28. Cash flow materially improved. One of the most impactful changes he’s made to the business: and it took 20 minutes to set up.

Quote Letters

Derek’s quotes were functional but bare: a list of line items without much narrative. He now uses ChatGPT to add a professional cover note to significant quotes: what the job involves, what the client can expect, why his business is the right choice. Win rate on quoted commercial jobs has improved, though he can’t isolate the quote quality as the sole factor.

The Numbers

  • ChatGPT Plus: ~AU$28/month
  • Admin time saved: ~3-4 hours/week
  • Average debtor days: 52 to 28
  • Estimated cash flow improvement: material (specific to business size)

“The invoice follow-up alone paid for ChatGPT about 50 times over in the first month,” Derek says.
