How a Geelong Physio Clinic Cut Admin by 8 Hours a Week Using AI

NDIS progress reports were a quarterly nightmare: detailed, structured, time-consuming to write from scratch. The practice now uses ChatGPT with a structured prompt that pulls in key data points and produces a compliant draft. The physio fills in the clinical specifics and reviews the output against NDIS reporting requirements before submitting. Time per report: down from 90 minutes to under 30.

Appointment Reminders and No-Show Follow-Up

The practice uses Cliniko for bookings, which has automated SMS reminders built in. Brendan connected this with a simple AI-written follow-up message for no-shows: a warm, non-judgmental message that offers to rebook. No-show rate dropped from around 12% to under 7% within three months.

What They’re Still Figuring Out
