Using AI for Hiring: What Australian Small Business Owners Need to Know
Hiring is one of the most stressful, time-consuming things a small business owner does: and often one of the most consequential. Getting it wrong costs significantly more than the salary. Writing a compelling job ad alone can eat half a day. Screening applications is repetitive and exhausting. AI can dramatically reduce the time you spend on the admin side of hiring: but there are important Fair Work considerations every Australian small business owner needs to understand before they start.
Writing Job Ads with AI
A well-written job ad attracts the right candidates and filters out the wrong ones. Most small business owners write job ads that are either too vague (“must be a team player”) or too long and intimidating. AI can help you find the middle ground.
Here’s a prompt that produces strong results:
“I’m hiring a [job title] for my [type of business] in [suburb/city]. The role involves [key responsibilities]. Must-have skills include [list them]. Nice-to-have: [list them]. We’re a small team of [number] people with a [describe culture] culture. Salary range is [range] per year plus super. Write a job ad for Seek that’s engaging, clear, and around 400 words. Include location, hours, and an EEO statement.”
What makes a good Aussie job ad: be upfront about salary (candidates increasingly skip ads without it), state whether the role is full-time, part-time, or casual, and be specific about location: including whether remote or hybrid is on the table. Vague ads attract vague applicants.
Fair Work Compliance Basics
This is the section most guides skip, but it matters. Under Australian law: specifically the Fair Work Act and anti-discrimination legislation: your job ad and hiring process cannot discriminate based on age, gender, race, religion, disability, pregnancy, family/carer responsibilities, or sexual orientation. Critically, this applies even if the discrimination is indirect or unintentional.
AI can accidentally introduce bias. If you prompt ChatGPT to write a job ad for a “young, energetic” team member, it may include language that implies age preferences. If you describe your business culture in ways that skew toward a particular demographic, AI will reflect that. Always review the output with fresh eyes: would this ad discourage any qualified candidate from applying based on a protected characteristic?
What every Australian job ad should include: a statement about the right to work in Australia being required, and an EEO (Equal Employment Opportunity) statement. ChatGPT will include these if you ask, but verify they’re present in the final ad.
Screening Applications with AI
Once applications start arriving, AI can help you process them faster: but with an important caveat. AI should assist your screening process, never replace your judgment. Using AI to make final hiring decisions (or to automatically reject candidates) raises serious legal and ethical risks under Australian employment law.
What AI is genuinely useful for: creating a scoring rubric based on your must-have criteria, summarising lengthy cover letters to highlight key points, and flagging whether a CV addresses the core requirements. A simple prompt: “Here are the key criteria for this role: [list]. Here is the applicant’s cover letter: [paste]. Summarise in 3 bullet points whether they meet the criteria, and flag any gaps.”
Use this to triage a large pile of applications more quickly: but always read the shortlisted candidates’ materials yourself before making any decision. For more on privacy obligations when handling applicant data, see our guide on Australian privacy law and AI.
Interview Questions
AI excels at generating role-specific behavioural interview questions. Behavioural questions (those starting with “Tell me about a time when…”) are generally more predictive of performance than hypothetical questions, and AI can generate them quickly for any role.
Try: “Generate 10 behavioural interview questions for a [job title] role at a [type of business]. Focus on [key competencies: customer service, problem-solving, teamwork, etc.].”
What you must avoid: and what Fair Work and anti-discrimination law prohibits: questions about family plans or pregnancy, health or disability (unless directly relevant to genuine job requirements), age, religion, or relationship status. AI won’t automatically avoid these, so review every question before using it. For more hiring guidance, visit our ChatGPT prompts guide.
Onboarding Documents
Once you’ve made your hire, AI can help with onboarding. This includes drafting welcome emails, creating training checklists, writing role-specific induction guides, and outlining your workplace policies. These are areas where AI produces strong first drafts that save significant time.
Employment contracts are a different matter. AI can draft a starting point, and it can help you understand what should be included: but any employment contract used in Australia must be reviewed by a qualified HR professional or employment lawyer before you ask anyone to sign it. Getting a contract wrong can create significant obligations and liabilities under the Fair Work Act.
The same applies to any policies you create: harassment policies, leave policies, performance management frameworks. Draft with AI, but verify with a professional. For a broader view of what AI can and can’t do for small business, our small business guide to AI is a good starting point.
The Bottom Line on AI for Hiring
AI won’t make hiring easy. Finding the right person is always difficult, and the stakes are high. But it can make the administrative side of hiring: writing ads, processing applications, preparing interview questions, creating onboarding documents: dramatically faster. What used to take a full day can now take a few hours.
The principle is the same as in every other area of AI use for small business: AI handles the drafting and the repetitive work, you handle the judgment. In hiring especially, that line matters.
