One Full Day a Week. Every Week. The Real Cost of Admin for Australian Small Business

The hidden tax on running a small business

COSBOA’s 2025 Small Business Perspectives Report found that Australian small business owners spend close to a full working day each week on compliance and admin (COSBOA/CommBank, April 2026). Not on selling. Not on building. On paperwork. That’s roughly 50 days a year, more than two working months, that never shows up in a profit and loss statement but absolutely shows up in how exhausted you are by Friday.

COSBOA’s 2026-27 Budget Wishlist made the scale of the problem explicit: compliance ranks in the top five business expenses for Australian small businesses, and 72% say rising costs are their single biggest obstacle (Dynamic Business, 2026).

For larger organisations, the numbers get specific. Amazon Business surveyed 1,000 Australian business leaders and found that managing procurement processes costs roughly $257,000 per year, with time and resources eaten up by approvals, purchase orders, and manual tracking (Amazon AU/Lonergan Research, 2025). That figure covers organisations of all sizes, not SMBs specifically, but the pattern holds at any scale: the more manual your admin, the more it costs you.

A 2025 Amazon/Deloitte analysis put the opportunity on the other side: AI adoption across Australian small businesses could add $44 billion to the economy through productivity gains (Amazon/Deloitte, November 2025). The tools to start capturing some of that aren’t expensive or hard to set up.

Xero with AI agents: accounting that runs in the background

Xero has been building AI directly into its accounting platform. The current AU version handles invoicing, bank reconciliation, BAS prep, and payment reminders with a high degree of automation. The AI categorises transactions, flags anomalies, and shows cash flow issues before they become crises. Plans start from $32/month. For any business still doing its books in a spreadsheet, the time savings in the first month alone tend to cover the cost. More at xero.com/au.

MYOB: AU-native and ATO-integrated

MYOB is built specifically for Australian tax and compliance, so BAS lodgement and payroll STP reporting are part of the core product rather than add-ons. The auto-categorisation has improved considerably over the past year. Starting around $29/month, it’s competitive with Xero and worth evaluating if your accountant already works in MYOB. See myob.com/au.

Ignition: for service businesses drowning in proposals and contracts

If you run a consultancy, accounting firm, marketing agency, or any professional services business, Ignition handles the part that everyone hates: proposals, engagement letters, contracts, and invoicing, all from one platform. More than 8,500 Australian service firms use it. Pricing is in USD, so contact them for current AU rates. Details at ignitionapp.com.

Amazon Quick: new in AU, June 2026

Amazon Business launched its Quick AI assistant in Australia in June 2026. For Prime Business members, it connects to 100+ apps and automates document creation: purchase orders, approval workflows, supplier communication. It’s early days locally, so check current feature availability before committing. See amazon.com.au/business.

Where to start

If you’re spending most of your admin time on accounting and tax, start with Xero or MYOB. If proposals and contracts eat your time, Ignition. If procurement and purchasing is the pain point, Amazon Quick is worth a look now that it’s available locally.

The goal isn’t to automate everything. It’s to stop spending $50-an-hour attention on $10-an-hour tasks. A full day a week adds up. Fifty days a year is time you’re not getting back unless you build systems that take it back for you.
