ChatGPT Business Tried to Downgrade My Plan and Cancelled My Whole Account — Here’s What Australian Businesses Need to Know

A thread on r/ChatGPTPro caught our eye last week. A small agency owner asked OpenAI support a simple question: could they drop from ChatGPT Business (two seats) to a single Plus account after their contractor left? Support’s answer was to cancel the Business plan entirely. Chat history gone. Projects gone. Custom GPTs gone. The thread has since filled with similar stories from other small teams caught in the same situation.

If you’re running a small Australian business on ChatGPT Business, there’s something worth understanding before you touch your plan settings.

How ChatGPT Business works for small AU teams

ChatGPT Business starts at two seats minimum, priced at USD $30 per user per month (billed monthly) or USD $25 per user per month on annual billing. For a two-person AU team, that’s roughly $90–$100 AUD per month depending on the exchange rate.

For that you get higher usage limits than Plus, access to GPT-4o and other models, the ability to build and share custom GPTs across your team, and the Projects feature for organising work into separate workspaces. Your data isn’t used for training by default.

What you don’t get is a simple path down. If one person leaves your team and you want to drop to a single seat, the plan structure doesn’t allow it, the minimum is two seats. That leaves you with three options: pay for two seats even when only one person needs access, upgrade to Enterprise (which has its own minimums and pricing), or cancel Business entirely and move to Plus.

Option three is where things break.

Cancelling Business doesn’t migrate your data

When a Business plan gets cancelled, whether you intended that or support did it for you, the account reverts to free tier or converts to a personal Plus account. The data tied to the Business workspace doesn’t follow. Chat history from Business sessions, shared Projects, and custom GPTs built under the Business account may become inaccessible or disappear.

OpenAI’s support documentation isn’t explicit about this sequence on the pricing page. Most users find out the hard way.

Export before you do anything

If you’re considering any plan change, downgrade, upgrade, or cancellation, export everything first. Do this before you contact support, before you click anything in billing settings.

ChatGPT’s data export covers your conversation history. Go to Settings → Data controls → Export data. OpenAI emails you a zip file with your conversations in JSON format. The format is raw JSON, workable with a bit of effort, and searchable if you need to find something specific.

Custom GPTs are trickier. There’s no bulk export. You’ll need to open each one, copy the system prompt, the instructions, the uploaded files, and any API configurations to a document you control. A shared Google Doc or Notion page works. If you’ve built GPTs with uploaded knowledge files, download those files separately, they’re not included in the conversation export.

Projects are simpler: the conversations inside them are captured in the chat export. The project structure itself (names, organisation) won’t be preserved, but the content will be there.

Keep this export as a regular habit regardless of plan changes. Monthly is reasonable. Quarterly at minimum.

Your AI chat history is business data

This is the part that tends to surprise people. A year of ChatGPT Business conversations might contain client briefs, half-finished proposals, research threads, GPT instructions tuned over months of iteration. That’s not trivial to recreate.

Most businesses wouldn’t accept “we lost the project files when we switched tools” as an answer for a document management system. The same standard applies to AI tools. Treat your prompts, custom GPTs, and conversation history as business assets. Store copies somewhere you own, not just in the tool’s own interface.

If you’re already locked out

If this has already happened to you, contact OpenAI support directly and ask specifically about account recovery and conversation history restoration. Some users in the thread reported partial recovery after escalating, not guaranteed, but worth asking. Be specific: reference your Business account email, the approximate cancellation date, and what you’re trying to recover.

Failing that, the conversation export you received before cancellation (if you ran one) is your only reliable fallback. If you didn’t export: log what you remember of key GPT configurations now, while they’re fresh, and rebuild from there.

Going forward, look at whether Plus actually meets your needs before committing to Business again. If you’re comparing plans carefully, especially as a sole trader or a team that expands and contracts, knowing exactly what each tier includes and what gets left behind when you leave matters more than the headline price.
