The AI Upgrade: Replying to Every Review β€” Keep Up Without Burning Hours

Most business owners reply when something goes wrong. A one-star hits, they write a response, move on. But the three, four, and five-star reviews? They pile up unanswered.

That’s a bigger issue than most owners realise. Google’s local ranking algorithm treats owner responses as an engagement signal. Consistent replies across all reviews, positive and negative, signals that your listing is actively managed. More responses means more visibility in local search. ProductReview.com.au and TripAdvisor work the same way: respond to everything, and your profile looks alive. Ignore the praise and you look like you only care when things go badly.

The other problem is volume. If your cafΓ©, tradie business, or clinic gets 20-plus reviews a month, writing personal replies to each one takes more time than most owners have. So nothing gets replied to.

AI fixes both problems.

What AI can actually do here

ChatGPT, Claude, or Gemini can draft a reply to any review in under 10 seconds. Feed it the review text and a couple of lines about your business, and you get a response that sounds like a person wrote it.

It also keeps your tone consistent. You set the voice once in the prompt (warm but professional, brief, first-name basis if the reviewer used their name) and every reply matches that standard.

It doesn’t replace your judgment. You still approve what goes out. But it cuts the writing time from 5-10 minutes per reply to about 30 seconds.

The fix, step by step

Step 1: Get your reviews in front of you

Log into Google Business Profile (business.google.com) and check your pending reviews. If you’re also on ProductReview.com.au, TripAdvisor, or Facebook, check those too. There’s no single dashboard that pulls everything together without a paid tool, but a 5-minute check across platforms once or twice a week is enough for most businesses.

Step 2: Draft replies with AI

Open ChatGPT or Claude. Paste this prompt template, then paste the review text below it:

You are replying to a customer review on behalf of [your business name], a [type of business] based in [suburb/city], Australia. Keep the reply under 60 words. Be warm and specific to what they mentioned. Use first-name basis if they provided one. Do not start with "Thank you for your review."

Review: [paste review here]

Adjust the tone as needed. Some businesses prefer formal; service businesses often benefit from something casual. Try a few replies and tweak the prompt until the output sounds like you.

Step 3: Apply the 10% rule

Not every AI draft is ready to send. About one in ten will need editing, usually because the review raised something specific (a staff member’s name, a product detail, a complaint) that needs a more personal response. Read every draft before it goes out. The AI handles the baseline; you handle the details.

Step 4: Post the replies

Copy the draft, paste it into the review platform, and post. For Google, this takes about 15 seconds per reply. Keep a note of any reviews that raised real issues so you can flag them internally.

Optional: automation tools

If you’re managing reviews across multiple locations or getting 50-plus reviews a month, tools like Podium (plans from around AUD $450/month) and GatherUp (USD pricing, roughly AUD $40-80/month for small businesses) can automate response drafting and posting. Both have Australian customers, though support time zones vary. For most single-location businesses, the manual AI approach above is cheaper and does the job.

Time saved

Replying to 20 reviews a month manually takes around two to three hours. Using AI drafts, the same 20 replies take 20-30 minutes. That’s roughly 90 minutes saved per month. Not life-changing on its own, but the bigger win is that you actually do it, rather than letting the queue grow for weeks.

What you’ll need

  • Google Business Profile (free)
  • ChatGPT (free tier works; Plus is AUD $28/month) or Claude (free tier works)
  • 20-30 minutes a week

No integrations. No monthly fee unless you want the speed.
