The 15-Minute Win: Build a Simple Project Tracker in Google Sheets With AI
Project management software feels like overkill for a small team. You don’t need Asana or Monday.com to track five jobs. But a mental note isn’t enough. Jobs fall through the cracks. Clients chase you up.
A Google Sheet fixes this. And with AI, you can build one in 15 minutes rather than spending an afternoon watching YouTube tutorials.
Here’s how.
Step 1: Open a blank Google Sheet
Go to sheets.google.com and hit the big plus sign.
Step 2: Ask AI to design your tracker
Paste this into ChatGPT (or whichever AI you use):
Create a Google Sheets project tracker for a [business type] with [N] team members. Columns: job/project name, client name, status (not started/in progress/waiting/done), due date, owner, notes. Add conditional formatting rules so status cells change colour automatically. Write column headers and a sample row.
Fill in your business type (e.g. “building company” or “marketing agency”) and your team size. ChatGPT will write the exact column headers, a sample row with placeholder data, and the conditional formatting rules you need to make status cells change colour.
Step 3: Copy it into your Sheet
Paste the column headers into Row 1 and the sample row below it. You don’t need to understand the formulas. Just paste what you got.
Step 4: Set up the colour coding
Select the Status column, click Format in the top menu, then Conditional formatting. Add the rules from ChatGPT’s response: green for Done, yellow for In Progress, red for Waiting, grey for Not Started. Once you know where the menu is, this takes about three minutes.
Step 5: Share it with your team
Click the blue Share button in the top right. Anyone with the link can view or edit (no Google account required for view-only access). Your clients can check in without needing a login.
What you end up with
A colour-coded tracker that shows you immediately what’s in progress, what’s overdue, and who owns what. No subscription. No onboarding. No “we’ll sort out the software later.”
You’ll actually use it. Not because it has the most features (Google Sheets doesn’t), but because it took 15 minutes to build, costs nothing, and your whole team already knows how it works.
The most useful project management tool is the one that’s already open.
