Zero Dollar Fix: Your Roster Takes Hours Every Week to Build

Building a roster on Sunday night in WhatsApp is not a system. It’s a gamble. Someone misreads a message, someone else doesn’t see it, and Monday morning you’re two staff short because you assumed everyone checked their phone. If you do this weekly, you’re spending two to three hours on something that should take twenty minutes.

This isn’t just a hospitality problem. Tradies with apprentices, retail owners with casuals, anyone managing more than one person’s schedule is running into this. The tools that fix it exist and the free tiers are genuinely good enough for most small businesses.

Why manual rosters keep breaking

The core problem is that WhatsApp and text messages have no memory. You ask who can work Saturday, you get four different replies in four different threads, you write it on a piece of paper, and then someone changes their availability Thursday night. You’re back to zero.

Tanda and Deputy are the two platforms that dominate this space in Australia, with hundreds of Bing search citations between them from business owners actively looking for this kind of help. Both have free tiers. Deputy’s free plan covers one location with unlimited staff, which is enough for most small businesses.

The free fix: Deputy or Google Sheets plus AI

Option 1: Deputy free tier
Sign up at deputy.com. The free plan gives you shift scheduling, timesheet tracking, and notifications for one business location. Staff get an app on their phone. They submit availability, you drag shifts into place, they get a notification. No more WhatsApp threads.

Setup takes about an hour the first time. You add your staff, set your business hours, and build your first roster. After that it’s maybe 20 minutes per week.

Option 2: Google Sheets with a ChatGPT-generated template
If you want more control or your situation is unusual, use this prompt with ChatGPT to generate a working roster template:

“Build me a Google Sheets roster template for a small business with 6 staff. I need columns for each day of the week, rows for each staff member, cells that show their shift time, and a row at the bottom that totals hours per day. Include conditional formatting that highlights if total hours go over 40 in a week for any staff member.”

ChatGPT will give you the exact sheet structure and the formulas. Copy them into Google Sheets. It’s not as polished as Deputy, but it’s yours and it costs nothing.

Collecting availability without the chaos

Whichever option you use, the real fix is having a single place where staff submit availability. Deputy handles this natively. If you’re using Google Sheets, create a separate Google Form that feeds into the sheet. Staff fill in the form, their availability lands in your spreadsheet automatically, no manual data entry.

ChatGPT can help here too. Give it your staff names, their typical availability, and the shifts you need filled, and it’ll draft a roster in a table format you can import or copy across.

What to do in the next 30 minutes

Go to deputy.com and create a free account. Add your business location and three or four staff members. Build next week’s roster as a trial. If it takes more than 45 minutes, you’re probably overthinking the setup. Start simple: one week, one location, get one person to try the app.

If you’d rather skip the app entirely, open ChatGPT and paste the Google Sheets prompt above. You’ll have a template ready in under five minutes.
