How Australian Allied Health Businesses Use AI to Hire and Manage Clinical Staff
Finding a good physio, OT, or speech pathologist to hire is hard right now. The allied health workforce was already stretched before COVID; the NDIS expansion made it tighter still. In some disciplines, paediatric speech pathology, neurological OT, advertised positions in major cities stay open for three to four months. In regional areas, longer.
Less admin, more clinical time β 50 AI prompts for Australian health practices.

AI tools won’t conjure candidates that aren’t there, but they do compress the time from job ad to offer, cut the administrative drag on practice owners doing their own hiring, and help retain the staff you have through better rostering and CPD support. This post is part of our complete guide to how Australian businesses use AI by industry and function.
Writing Job Ads That Attract Applications
Most allied health job ads are written once, never updated, and read like a position description lifted from an HR template. Candidates, especially early-career clinicians with multiple options, don’t apply because the ad doesn’t give them a reason to.
ChatGPT is worth using here. Feed it the position description, your practice’s supervision model, caseload type, and what makes your workplace different, then ask it to write a job ad aimed at a new graduate physiotherapist who has two other offers. The output needs editing and personalising, but it starts from a much better place than a blank document or a recycled template.
Specific details land better than generic claims. “Fortnightly supervision with a senior physio who holds a FACP” tells a candidate more than “supportive environment.” “NDIS paediatric caseload, 60% school-aged” tells them more than “diverse caseload.” Prompting ChatGPT to be specific forces you to articulate the actual selling points, which is useful even if you don’t use the draft verbatim.
Candidate Screening at Scale
SEEK now integrates AI screening tools in its employer dashboard. For allied health roles, the most useful filters are registration status (AHPRA registration number verification is a mandatory pre-employment check), clinical experience in specific areas, and availability. AI-assisted screening in SEEK can rank applicants by match criteria before you open a single CV.
For practices getting 30 or more applications for a senior physio role, that ranking is a genuine time-saver. For roles getting five applications, it adds little. Know which situation you’re in before investing time in configuring it.
The AHPRA check is non-negotiable and cannot be delegated to an AI screener to complete, you verify the registration number yourself at the AHPRA online register, which takes two minutes per candidate.
Rostering: Where Small Errors Become Big Problems
Allied health rostering is complicated by part-time arrangements, room and equipment constraints, NDIS service agreements that specify particular practitioners, supervision ratios for provisionally registered clinicians, and leave patterns that don’t fit neatly into a fortnight. Getting this wrong means either over-scheduling a clinician into burnout or under-scheduling the clinic into revenue gaps.
Deputy and Tanda are the two workforce management platforms most commonly used in allied health. Both handle award interpretation under the Health Professionals and Support Services Award, flagging overtime, penalty rates, and allowances automatically. Deputy’s AI shift suggestions use historical appointment data to propose rosters that match expected demand, useful for practices with predictable weekly patterns and less useful for those with volatile NDIS caseloads.
For NDIS service agreements specifying a named practitioner, the rostering system needs to record that constraint explicitly. It is the kind of detail that gets missed in a manual spreadsheet and causes service agreement breaches.
CPD Tracking and Supervision Logs
Every allied health registration board has CPD requirements. Physiotherapy Board: 20 hours per year minimum. Psychology Board: 30 hours per registration period. Speech Pathology Australia: 20 hours per year with specific learning category requirements. For practices employing multiple clinicians across different disciplines, tracking CPD compliance manually is a significant administrative burden.
Halaxy includes a CPD tracking module for individual clinicians. Some practices use a shared Notion database with automated reminders as a simpler alternative. The key requirement is that the system sends an alert before a renewal deadline, not after, AHPRA registration lapses are a serious compliance event that affect the practice’s ability to bill Medicare.
Supervision logs for provisionally registered psychologists and physiotherapists need to be maintained in a format that can be submitted to AHPRA on demand. A structured template in Notion, with automatic date-stamping and a weekly reminder to complete the log, is sufficient. It doesn’t need to be complex, it needs to be consistent.
Retention: The Problem Recruiting Can’t Solve
Hiring well is worth less if clinicians leave within two years, which in allied health is the median tenure for a first job. The factors behind early departures, inadequate supervision, caseload pressure, poor rostering, are visible in the data before the resignation lands on your desk.
Deputy and Tanda both track actual hours worked against contracted hours. A pattern of consistent overtime for one clinician, or a rostering load that’s measurably higher than their peers, is an early indicator worth addressing. It won’t flag itself unless someone is looking; AI-assisted workforce analytics at least make looking easier.
As noted in our piece on AI for Australian psychologists and counsellors, the practises retaining staff longest tend to have explicit supervision structures and manageable administrative loads, both of which AI tools can support but neither of which AI tools alone can create.
- SEEK, job advertising with AI-assisted candidate ranking and screening
- ChatGPT, job ad drafting, interview question generation, onboarding checklist creation
- Deputy, rostering, award interpretation, shift suggestions, overtime tracking
- Tanda, workforce scheduling, timesheet automation, Health Professionals Award compliance
- Halaxy, CPD tracking module for individual clinicians
- AHPRA online register, manual registration verification (cannot be automated)
Practical Tip
Before your next hire, check your current roster data for clinician hours and caseload distribution. If you have a clinician consistently working 10% above their contracted hours, that is your most urgent retention problem, and potentially a Fair Work issue. Fixing it before advertising the new role is more valuable than whatever efficiency the new hire adds.
