AI Tools for Tradies: What Actually Works on the Job Site
Most AI tools are built for office workers. Tradies need something different: quick answers, hands-free options, and software that works when your phone signal is patchy. Here’s what’s actually worth using.
Voice-to-text for quotes and job notes
The fastest win for any tradie is voice-to-text. Instead of typing up job notes at the end of the day, talk into your phone as you work. Google’s Gboard and Apple’s dictation are built into your phone and cost nothing. For something more polished, Otter.ai transcribes conversations: useful when you’re on a client call discussing scope.
Most tradies spend 30–60 minutes a day on admin they could cut this way.
Writing quotes and proposals
ChatGPT handles this well. Give it the job details and ask for a professional quote. You still need to add your prices and check the numbers, but the structure and wording come out clean. Works well for electrical, plumbing, building, and landscaping quotes where the language matters for bigger jobs.
If you use ServiceM8 or Tradify, both platforms have added AI features for quote generation directly inside the app. Worth turning on if you’re already a subscriber.
Responding to reviews and customer messages
Copy a Google review into ChatGPT and ask it to write a professional reply. Takes 10 seconds. Same for customer complaint emails: describe the situation, ask for a calm response. You edit it to sound like you, then send it.
Useful after a tough job where you want to respond without sounding defensive.
Safety documentation
SWMS (Safe Work Method Statements) are mandatory for high-risk work. Writing them from scratch takes time. AI can generate a draft based on the task type: you review and customise it, then sign off. A genuine time saver, but never skip the review. The responsibility is still yours.
Job scheduling
ServiceM8 uses AI to suggest optimal job scheduling by location. Tradify has similar features. For smaller operations, a simple ChatGPT prompt like “I have 4 jobs tomorrow across Melbourne’s north: what’s the most efficient order?” works surprisingly well. It won’t know live traffic, but the logic is sound.
What AI won’t replace
Your quoting judgement. AI doesn’t know your material costs, your supplier relationships, or the quirks of a specific job site. It also won’t handle compliance paperwork automatically: anything going to a client or regulator still needs a human eye.
Start with voice notes and quote drafting. Those two will give you back an hour a day.
