The 15-Minute Win: Build a Booking Confirmation Email That Answers Every FAQ

Clients book with you and then immediately wonder: where do I park? What should I bring? What if I’m running five minutes late? Those questions land in your inbox before the appointment even happens, sometimes three or four from the same person. A good booking confirmation email answers all of them upfront and reduces no-shows at the same time.

The fix takes 15 minutes. You only have to do it once.

What you’ll need

  • Your existing email provider (Gmail, Outlook, whatever you’re already using)
  • ChatGPT or Claude, the free tier is fine

No new tools. No new subscriptions.

The 15-minute method

Open ChatGPT or Claude and paste this prompt. Fill in the bracketed details for your business:

You are helping a [type of business] in [suburb/city], Australia write a booking confirmation email. The business offers [service type]. Write a confirmation email that includes: the appointment date and time, the full address with a Google Maps link placeholder, what the client should bring or wear, answers to the top 3 FAQs for this type of business (parking, how long the appointment takes, and what happens if they’re running late), the cancellation policy, and who to call or text if they have questions. Tone: warm but efficient. No filler phrases. Australian spelling.

Review what comes back. Swap in your actual address, cancellation window, and phone number. Read it aloud. If anything sounds stiff or doesn’t match how you talk to clients, change it. Most people spend 5 minutes editing.

Save the final version as a template in your email provider or booking system. Once it’s set up, it goes out automatically on every new booking. Some booking platforms like Cliniko, Acuity Scheduling, and HotDoc let you paste the template directly into the confirmation settings.

What a solid booking confirmation covers

This is what a complete confirmation includes. If any of these are missing from yours, that’s a question sitting in your client’s head.

  • Date, time, and service booked (so there’s no confusion about what they’re coming in for)
  • Full address, with a link to Google Maps (not just the suburb)
  • What to bring or wear, relevant for allied health, beauty, and personal training clients
  • Parking: is there street parking? A car park nearby? How far is the nearest tram stop?
  • How long the appointment takes, so clients can plan their day
  • What happens if they’re running late (most clients won’t ask, but they’ll stress about it)
  • Cancellation policy: when to cancel by and whether there’s a fee
  • A direct number or email for last-minute questions

For service businesses in Australia, parking and duration come up most often. Get those two right and you’ll cut most of the pre-appointment messages.

Time saved

Writing this from scratch takes 15 minutes with AI, versus 45 to 60 minutes on your own. Once it’s a template, every future confirmation is automatic.

Research from Acuity Scheduling found that confirmation and reminder emails can cut no-shows by up to 29%. For a solo practice or a tight schedule, that’s a real difference, a 29% drop in no-shows could mean two or three extra billable hours a week, depending on your volume.

The email also sets a professional tone before the client walks in the door. Clients who feel informed turn up on time and arrive prepared.

Quick recap

  • Use a free AI prompt to draft your confirmation email in one sitting
  • Cover the eight essentials: time, address, what to bring, parking, duration, late policy, cancellation, contact
  • Save it as a template and you’ll never write it from scratch again
